1. Purpose
This guide helps [CLIENT NAME] decide where to use AI first, how to move from pilots to everyday use, and how to show the benefit — while adopting only the governance that the current stage needs.
2. Why governance and adoption go together
Without approved tools, people use consumer AI anyway (see AGK-PRC-07). Providing a good approved tool is the most effective data-protection control.
Clear rules make people confident to use AI; unclear rules cause either reckless use or no use.
Governance effort should follow value: a lightweight path for Low-risk use cases frees time to govern the few High-risk ones properly.
Measured benefits justify the investment in tools, training and controls, and show where to stop.
3. Maturity stages
| Stage | Typical signs | Focus | AGK documents to adopt |
|---|---|---|---|
| 1. Explore | Individual use of consumer AI; no approved tool; no policy; leadership curious or worried | Find what is in use; agree rules; pick one approved tool; quick wins | AGK-001, AGK-000, AGK-POL-02, AGK-STD-A02, AGK-GDL-A01, AGK-PRC-07, AGK-TPL-01, AGK-TPL-07, this guide |
| 2. Enable | Approved enterprise tool rolled out; first champions; early use cases in several teams | Training, intake, incident reporting; configure the platform; measure first benefits | AGK-POL-01 and AGK-POL-03 (condensed), AGK-PRC-01, AGK-PRC-04, AGK-STD-C01, AGK-STD-A01, AGK-GDL-C03, AGK-TPL-03, AGK-TPL-06, AGK-TPL-12 |
| 3. Embed | AI in standard team workflows; connectors and custom assistants; requests for integrations | Connector and extension governance; risk assessment for Medium/High use cases; periodic review | AGK-STD-A03 to A05, AGK-PRC-A01, AGK-PRC-02, AGK-PRC-03, AGK-PRC-05, AGK-STD-C02, AGK-TPL-02, AGK-TPL-04, AGK-TPL-05 |
| 4. Scale | Building AI systems and agents; customer-facing AI; regulator or certification interest | Build governance, evaluation and monitoring; management system; audit | Track B (AGK-STD-B01 to B06), full Core set, AGK-TPL-08; ISO/IEC 42001 readiness |
4. Use-case discovery workshop (2 hours)
Run one workshop per business unit or [3] related teams, with [8] participants including the team lead and a champion.
| Time | Activity | Output |
|---|---|---|
| 0:00–0:15 | Why we are here: approved tools, what is allowed (AGK-GDL-A01), and the goal of finding [8] candidate use cases. | Shared context |
| 0:15–0:45 | Map the work: list repetitive, time-consuming or error-prone tasks; note frequency, people involved and data used. | Task list |
| 0:45–1:00 | Short demo of the approved AI tool on [2] of the listed tasks. | Realistic expectations |
| 1:00–1:30 | Turn tasks into use cases: one line each — “Use AI to [task] for [users] so that [benefit]”; note data labels and any decisions about people. | Candidate use cases |
| 1:30–1:50 | Quick-score Value and Feasibility (1–5) as a group; flag likely Risk. | Draft scores |
| 1:50–2:00 | Agree top [3]; name an owner for each; explain next step (intake via AGK-PRC-01). | Shortlist and owners |
